Below you will find a brief summary of the most important technical guidelines. If you have any questions, please read the complete technical guidelines or contact us at: messen@velokonzept.de. You can find the technical guidelines as PDF in the download section on the right side.
Technical guidelines
Open air exhibition:
All booth structures in the outdoor area must be constructed in such a stable manner that public safety and order, in particular life and health, are not endangered.
This includes the following measures:
• Max. Load in the covered outdoor area is 3.5 t and on the 400m test track: 7.5 t
• Covered outdoor Exhibition: 35m x 73m
• Max. height for booth construction: 3.10 m. Exceeding this height is possible on request.
• The covered outdoor area has a special floor cover for events with a sandblasted, non-slip surface and a flat profile. (see photo).
• No oils, hot liquids, paint, etc. may be used.
• Cables for ice cooling run under the floor: no nails, pegs, other fastenings, etc. may be hammered in!
• ATTENTION: When setting up the exhibitor must ensure that the floor is not damaged (both indoor and outdoor). The use of pegs, is not permitted on any of the rented areas; the construction systems must be attached with appropriate weights!
• Tents and other structures must be secured with weights.
• Easily flammable, burning dripping or toxic gases and / or smoke-forming materials such as polystyrene - Rigid foam (Styrofoam), PVC or similar or various acrylic glass products may not be used for the construction of the stand. The materials used must not contribute to the development of heavy smoke in the event of a fire.
• Only flame-retardant materials may be used as decoration materials that are at least class C –s3, d0 or DIN 4102-1 at least B1, non-burning droplets according to DIN EN 13501-1
• Since smaller tent structures (<75m² floor space) are also classified as portable buldings, they must also adequately meet the technical and static requirements for „flying constructions" (M-FlBauR, DIN EN 13782).
• With a tent height of up to 5 m and width 13 m / s ( Wind force> 6 Bft.), Strong thunderstorms in connection with gusts of wind, heavy rain or hail, heavy rain> 20 l / m² in one hour, a general storm warning is sent to all exhibitors in the outdoor area. After this, the exhibitors with booth construction systems or temporary structures with reduced wind load are immediately requested to take all measures to cease operations.
• Measures to cease operations include: (1) securing the stand construction system, (2) clearing the stand construction system and the event area by visitors and staff, (3) leaving of the exhibition center
Vehicle access under the membrane roof (covered outdoor area):
• Front side: 3.50 m wide and 2.90 m high
• Long side: 3.40 m wide and 2.60 m high
• Hall entrance: 3.50 m wide and 2.60 m high
Exhibition in small and large hall:
• Clear height of large hall: 9m
• Clear height of small hall: 4m
• the small hall can be driven by vehicles up to 7.5t.
Smoking is prohibited in the entire interior
Exhibition of vehicles:
The exhibition of motor vehicles must be registered. For this, the number of vehicles and the specification of the vehicle type (s) are required.
Internal combustion engine vehicles
• The fuel tank must be largely empty and locked.
• The exhibition vehicles can be supplied via the starter battery if it is ensured that no dangerous gases are produced - e.g. with gel batteries, if the contacts are designed to be safe to touch and the starter is permanently separated from the battery.
• In all other cases the battery must be disconnected or removed.
Vehicles with alternative drive technology, e.g. electric or hybrid drive
• The fuel tank must be largely empty and locked.
• The drive motor must be disconnected from the battery, for example using a battery isolating switch.
• The high-voltage battery must be de-energized or the high-voltage battery must be in a non-critical condition typical of the battery (charged / discharged).
• The vehicle positions within a booth space must be marked in a plan. Vehicles with fuel cells or other types of drives are considered separately.
Booth construction:
The rented booth space is marked by the organizer. Slight deviations in dimensions compared to the stand sketch sent must be expected. Every exhibitor is obliged to find out about the location, dimensions and any built-in components such as pillars, electrical connection boxes, etc. on site. The booth space boundaries must be strictly observed.
Booth structures that have not been approved, do not comply with technical guidelines or laws may have to be changed or removed. If this is not done on time, the organizer is entitled to make changes himself at the expense of the exhibitor or to block the stand for visitors.
In order to ensure the necessary planning reliability for you and as well as us, we are monitoring the situation very closely and are in close and regular exchange with the responsible authorities. We have summarized the most important questions and answers about the measures against Corona as well as conditions for registrations and cancellations of the event.
The first trade fairs are currently opening their doors again as specialist events. There is still a lot of time before the first VELO event in April 2022, but no one can predict the situation for spring 2022 and which conditions will then apply to events like ours.
It is clear that not everything will be the same in spring 2022 either. We are developing the appropriate hygiene concepts in collaboration with the authorities as - very important – we definitely want the VELO festivals to take place! They have become an indispensable part of the bicycle world, an important component in the manufacturers' marketing and sales plans and in the calendar of bicycle fans across Germany.
We look forward to a great, safe and healthy festival season 2022 with you!T
